Club emails
When you subscribe, your email address is sent to Brevo to request a confirmation email. Confirmed addresses are used for Bulimba Hash House Harriers announcements. You can unsubscribe using the link in every mailing-list email.
Cloudflare Turnstile checks subscription and contact requests to help prevent spam. Subscriber addresses stay private. Subscribing does not create a club login.
Contacting the club
The contact form stores your name, reply email, topic and message in a private club inbox. Website Admins, Editors and committee members with an active inbox job can read it and reply. Contacting us does not subscribe you to a mailing list. Messages are automatically removed after 180 days, or can be deleted sooner by an editor.
Run reports and photos
Published reports and photos are public. The Hash Flash uploader prepares photos on your device and sends the converted AVIF files to the site. It does not upload the original phone files or their embedded GPS metadata. Keep your original files separately if you want an archive.
Photos attached to a saved report, page or event follow that content’s access. Draft attachments are available to its editors. Member-only event details and photos are available to approved members and event editors. Public media-library files and profile pictures have public URLs, so editors should use parent attachments for private or unpublished pictures.
Accounts and profiles
Accounts are by invitation. Login email, permissions and content are stored in the club’s Cloudflare database. The webmaster manages website access and can suspend logins. Changing your login email requires confirmation at the new address; your existing address works until then.
Public profiles are off by default. If you choose to share one, it shows your hash name (or human name if you have no hash name), photo and bio. It never shows your login email. Profile pictures are stored in Cloudflare R2 and their URLs are public, even if your profile is hidden. Removing a picture from your profile does not delete the uploaded file; ask the webmaster if it needs removal.
Committee listings show the public name, club job and term dates entered by the webmaster. Past terms may remain as club history. Named committee appointments grant specific club-desk jobs while their term is active; broader CMS permissions are managed separately.
Club records
The committee may enter a roster profile before inviting your login. Private human names, primary and alternate contact details, dues records and merchandise requests are stored separately from login accounts. Only a unique matching verified login email can automatically link an existing approved profile; uncertain matches are reviewed by the committee.
You can see your own club records when signed in. Committee members see the records needed for their jobs: membership administration, finance or merchandise fulfilment. Dues status does not automatically suspend membership. This site records payments made through the club’s usual process and takes no payments itself.
Club changes leave a private audit trail identifying the acting account, record and time. Contact message bodies and finance notes are not copied into that log. Ask the committee to correct or remove private records; historical committee terms and financial records may be retained for club administration.

Contact the club if you’d like a photo removed, need your information corrected or want help with your account or subscription. We’ll take the piss on trail, but we take your privacy seriously.
